Improper use of materials
Prevent inventory discrepancies when employees use an alternative material because the specified material is missing.
Improper use of materials here means that a material is used for an application for which it is not specifically intended, because the original material is unavailable. Think of a different plate thickness, an alternative packaging material, or a component kept in stock for another product. Such a substitution can help keep the work moving, but first requires an assessment of suitability, quality, and safety. Availability alone does not make a material a suitable alternative.
Inventory issues arise when actual material consumption is not recorded correctly. If the system deducts the prescribed material while a different item has been used, the administrative inventory of both items will deviate from reality. The replacement material still appears available even though it has already been consumed; conversely, too little stock of the original material may be displayed. This results in incorrect reorder advice, unexpected shortages, and unreliable reservations for subsequent orders. Material consumption and costs per production order can also become distorted.
Control begins with clear agreements on approving and recording the use of replacement materials. Record which item was actually used, in what quantity, and for which order, with the correct units and, where necessary, batch or serial numbers. Adjust the material issuance and any automatic backflushing so that the prescribed item is not deducted anyway. Also assess recurring substitutions on a structural basis: inventory settings, bills of materials (BOMs), or approved alternatives may require updating. This keeps the operation flexible without losing control over inventory, quality, and costs.
What is Improper use of materials?
Improper material use here means that a material is utilized for an application for which it is not specifically intended, as a substitute for an unavailable material.
When do you use it?
Record who is authorized to approve the use of substitute materials and register which item and what quantity was actually consumed on the relevant order.
What are the benefits?
Fewer inventory discrepancies, more reliable ordering advice, and better insight into actual material usage and costs.
