Brown Paper

A collaborative process analysis that enables teams to map out the actual workflow from start to finish.

Back

A Brown Paper session is a practical method to visualize a process from start to finish together with employees. The name refers to the large sheet of brown paper on which process steps, information flows, and bottlenecks are mapped out using sticky notes. This method aligns with process management and Lean: not the written procedure, but daily practice serves as the starting point.

In production and logistics, a Brown Paper session is used, for example, to examine order processing, planning, goods receipt, or collaboration between departments. Employees work together to map out who does what, what information is required, and where handovers take place. This makes waiting times, duplicate work, unclear responsibilities, and unnecessary actions visible. Subsequently, the team determines which improvements take priority and who will take ownership of them.

A well-facilitated Brown Paper session creates a shared understanding of the process and clarifies how tasks influence each other. Because employees contribute their own experiences and solutions, mutual understanding between departments grows, as does support for change. The result is a collective overview of bottlenecks and concrete improvement actions that lay the foundation for a more efficient, better-aligned operation.

What is Brown Paper?

During a Brown Paper session, employees visually map out the process with steps, roles, documents, bottlenecks, and handovers.

When do you use it?

The method helps when multiple departments each know part of the process, but no one has an overview of the whole.

What are the benefits?

One shared process vision, recognizable areas for improvement, and support for the new way of working.
